Wedding Show Terms & Conditions

Maximum Number of Each Supplier Type

One of our key Wedding Show USP’s is that we have a maximum number of each supplier type. Strictly one supplier type / company per stand please, unless you have been given special permission by The Whitewed Directory.

Should your business offer more than one supplier type, then you are welcome to book more than one stand in order to showcase all elements of your business; each additional stand booking will incur an additional stand fee.

Exhibit Fee, Booking & Payment

The stated stand fee includes a table (size as stated) and white table cloth, complimentary catering (as noted on the invitation) with tea / coffee available throughout the Show (unless otherwise stated).

Wedding Show Early-Bird Discount for Whitewed Enhanced Members*: Request your stand(s) within 48 hours of the Stand Release e-mail AND make payment within 7 days to receive 10% off your booking. Should payment NOT be received within the 7 days, we will re-allocate your stand. If you wish to continue with your booking and there is availability, the full stand price will apply.

Goody Bag Early-Bird Discount for Whitewed Enhanced Members*: Request your goody bag inclusion(s) within 48 hours of the e-mail invitation AND make payment within 7 days to receive £10 off your booking.

Should payment NOT be received within the 7 days, the invoice will be re-issued with the full inclusion price.

Due to the hard work put in to ensure you a successful day, Whitewed Directory Wedding Shows are popular, so to secure your stand(s) please complete and submit the booking request form(s) soonest. All booking requests are to be sent via the provided form only.

Form submissions will be taken on a first come, first serve basis - however, if a business requests most / many / all of the Wedding Shows available, we will use our judgement accordingly and allocate their requests fairly.

We will respond to your form submission within 1 working day.

An invoice to cover your confirmed booking(s) will follow separately via e-mail and payment for your stand is due within 7 days by BACS or credit / debit card. We do not accept cheque or cash payments. If payment has not been made within 7 days, we will re-allocate your stand(s).

Stand fees are non-refundable unless cancellation notice is provided 4 weeks in advance of the Wedding Show and the stand is re-sold.

One month prior to the Wedding Show, a final information e-mail containing advertising information will be sent via e-mail.

You will be invited to a Wedding Show 'Pre-Meet' at your chosen Wedding Show venue(s) approx 4-6 weeks prior to the event. This is included in your fee and will enable you to visit the venue, meet your fellow exhibitors, request your stand (Whitewed have final say) and gain training / top tips on the presentation of you and your stand, sales and engagement and follow up.

Stand Requirements

As part of our final information e-mail we provide stand set up deadlines; should your arrival be delayed, please do contact us to advise and the event team will be on hand to assist you with your stand set up on your arrival.

Should you not arrive by 15 minutes prior to the Wedding Show start time, and we have been unable to contact you, we will remove your stand or re-allocate it to another business in attendance.

Your stand MUST be manned for the duration of the event.

It is a requirement of booking that your business has up-to-date Public Liability Insurance and PAT testing where the venue requests it, we ask that your stand has a professional finish, and it is your responsibility to ensure that your stand is free of trip hazards.

All rubbish relating to your stand is to be taken away by you at the end of the event.

Your business may be a member of exclusive and local clubs / groups outside of The Whitewed Directory, but we ask that these clubs / groups are not advertised / displayed at our Whitewed Wedding Shows. Should a display of another club / group be advertised at a Whitewed Wedding Show, we reserve the right to ask you to remove this from your stand.

Advertising & Follow Up

Each Wedding Show is advertised fully with an outdoor banner; hefty social media sponsored campaigns, listings on the main wedding planning and event websites; posters; paid dedicated e-mail sending; by personal invitation from The Whitewed Directory's database, and The Whitewed Directory events page and blog.

On the evening of the Wedding Show, all couples who attended and 'opted in' to hearing from The Whitewed Directory will receive an e-mail listing all exhibiting Whitewed approved members and a link to their Whitewed Directory page.

All exhibiting and goody bag booking Whitewed Directory members will receive a database in Excel format of all couples who 'opted in' to hearing from the Wedding Show exhibiting business and goody bag businesses. All other exhibitors will receive this on the second working day after the Wedding Show – this list is collected via a Whitewed prize draw incentive.

The registration list is to be used by your business only and is not to be shared amongst any other businesses, 3rd parties, friends, family or business associates.

It is essential that your business correctly abides by the General Data Protection Regulation (GDPR). It is your responsibility to ensure that you are compliant and use the data provided correctly and lawfully.

Postponement or Abandonment

In no event shall the Exhibitor have any claim for damages of any kind against The Whitewed Directory (Love to Plan Ltd) or the venue owner in respect of any loss or consequential damage upon the prevention, postponement or abandonment of the Show for reasons beyond The Whitewed Directory’s (Love to Plan Ltd.’s) control, examples include (but are not limited to) disease, severe weather and ‘Force Majeure’.

The Whitewed Directory (Love to Plan Ltd’s) will re-schedule a postponed or abandoned event (to another venue if necessary) and the exhibitor’s payment will be transferred to this new date / venue only. In the event that the exhibitor cannot attend the rescheduled date / venue, their fee will be non-refundable and non-transferable to alternative Wedding Shows or exhibitors.
